Your Role
As a Virtual Assistant and Digital Marketing Specialist, you will :
- Calendar Management: Organise appointments, consultations, and reminders for team and client meetings.
- Email Management: Manage and prioritise inboxes, draft responses, and escalate key messages.
- Data Entry & Database Management: Maintain client and partner records, spreadsheets, and CRM updates.
- Phone & Voicemail Handling: Answer and direct calls or follow up on voice messages professionally.
- Customer Service: Respond to inquiries, address complaints, and support clients with timely, accurate information.
- Creative & Marketing Support
- Social Media Management: Create and schedule content across Instagram, Facebook, and TikTok; engage with followers.
- Content Creation: Write blog posts, guides, FAQs, and client-facing articles.
- Graphic Design: Use Canva or similar tools to create marketing materials, banners, and social media visuals.
- Creating Presentations: Develop pitch decks, client briefings, and internal slide decks.
- Research & Business Development
- Online Research: Research destinations, clinics, treatments, costs, competitor offerings, and travel requirements.
- Vetting Opportunities: Assist in researching and assessing potential clients, hospital partnerships, or vendors.
- Testimonial & Case Study Management: Collect and organise post-treatment feedback for marketing use.
- Technical & Website Support
- Website Updates: Upload content, photos, and service updates to the website using CMS tools.
- Transcription: Transcribe interviews, meetings, or client discussions as required.
- Software Support: Provide basic troubleshooting or support for tools used across the business (email, CRM, scheduling, etc.).
What You Need
Non-negotiables
- Previous experience as a Virtual Assistant or in a similar remote support role
- Proficient in Google Workspace (Docs, Sheets, Slides), Canva, and social media platforms
- Background in healthcare, aged care, tourism, or client services
- Experience with platforms such as Mailchimp, Trello, ClickUp, WordPress/Webflow, and CRM software
- Strong understanding and working knowledge of digital marketing, and community engagement
- Interest in health and wellness, medical tourism, or global healthcare trends
