Role Overview: The Project Coordinator works directly with the Marketing Director to assist in organizing and managing all health plan marketing projects from inception to completion. The primary responsibility is to continuously improve and optimize our CMS to enhance efficiency, transparency, and accountability in project tracking by operating Monday.com, Salesforce, or other CRM/project management systems.

This role requires big-picture thinking to assess evolving business needs, anticipate future challenges, and bring innovative ideas to improve workflows and project management tools. The Project Coordinator will play a key role in mapping out our CRM/CSM systems, ensuring they scale effectively with company expansions and changing priorities.

The position also includes leading scheduling efforts, taking detailed meeting notes, and maintaining accurate records of key decisions, discussions, and assigned tasks.

Key Responsibilities

Strategic CMS & Project Management Development

  • Bring new ideas to the table to enhance project management processes, ensuring adaptability to company growth and evolving needs.
  • Think big picture to assess project management tools' capabilities and recommend improvements to optimize efficiency.
  • Collaborate with stakeholders to map out and refine the CRM/CSM structure, ensuring seamless integration across marketing functions.
  • Lead implementation efforts for system enhancements, ensuring effective adoption and usage.

Project Tracking & Management

  • Operate Monday.com and/or Salesforce (or other project tracking tools) to maintain visibility and transparency of health plan marketing projects across teams.
  • Monitor project progress and ensure milestones, approvals, and deadlines are met.
  • Track deliverables and ensure all necessary approvals are secured to keep projects moving efficiently.
  • Maintain documentation to ensure accurate record-keeping of project discussions, decisions, and action items.

Deadline & Accountability Management

  • Set clear deadlines in collaboration with marketing managers to establish realistic timelines for project phases.
  • Provide regular updates on project status, changes, or shifts in deadlines.
  • Send reminders and follow-ups to keep teams on track and prevent delays.
  • Escalate issues to the Marketing Director when deadlines are at risk, proposing solutions or alternative timelines.
  • Coordinate resources to ensure marketing managers have the necessary support to meet their deadlines.

Communication & Coordination

  • Schedule meetings across marketing teams and stakeholders, ensuring alignment on project timelines and priorities.
  • Take detailed meeting notes to capture key decisions, action items, and assignments.
  • Facilitate collaboration between brand, digital/web, and operations teams to ensure seamless execution of marketing plans.
  • Adjust timelines when necessary, working closely with teams to realign project schedules in response to challenges.

Required Skills & Qualifications

  • Bachelors Degree
  • Proven experience working in a marketing department or agency setting to ensure a strong understanding of common marketing workflows, processes, and needs.
  • Experience with CRM/CSM systems (e.g., Monday.com, Salesforce) and the ability to recommend and implement improvements or plugins (e.g., Adobe Workfront, Frame.io, etc)
  • Strong strategic and analytical thinking to assess current project management practices and identify opportunities for innovation.
  • Ability to think big picture while also managing the details of project execution.
  • Strong organizational and time management skills, with the ability to manage multiple projects simultaneously.
  • Extremely detail-oriented and concise with strong documentation skills for meeting notes, action items, and project tracking.
  • Excellent communication and coordination abilities to effectively work with cross-functional teams.
  • Experience in workflow development and implementation within a marketing environment is a plus.
  • Experience in marketing operations or project coordination is preferred.
