About The Role

As Personal Assistant to one of ARRCC's Directors, you will play a critical role in enhancing executive effectiveness through high-level administrative and personal support. From managing complex diaries and travel logistics to maintaining key internal systems and ensuring seamless coordination across teams and projects, you'll be a vital link between the Director, staff, clients, and consultants.

This is more than a support role – it's a strategic partnership that demands initiative, insight, and the ability to juggle multiple priorities with confidentiality and grace.

What You'll Be Doing

  • Proactive diary and inbox management, including scheduling, meeting prep, and confidential correspondence
  • Coordination of internal and external meetings, events, and recurring activities
  • Managing Director's action list and time sheets
  • Handling sensitive personal matters with the utmost discretion
  • Management of book orders, subscriptions, and industry memberships (e.g., SACAP, SAIA, IID)
  • Drafting and formatting documents, reports, and fee proposals
  • Maintaining project initiation trackers and statistical reports (via Deltek Vision)
  • Managing Director's CPD points and professional registrations
  • Organising complex travel itineraries, accommodation, and cost allocations
  • Filing and managing digital mailboxes and internal systems
  • Liaising with HR, Finance, and external consultants where necessary

What You'll Bring

  • Minimum 5+ years' experience in a senior-level PA or EA role
  • Impeccable organisational and time management skills
  • Outstanding verbal and written communication (English)
  • Proven ability to manage sensitive information with discretion
  • High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Experience with Deltek Vantage (advantageous)
  • A natural relationship builder, capable of interacting professionally with high-profile individuals
  • Calm under pressure, adaptable, and solution-focused
  • A genuine interest in the creative or architectural industry is a plus
