Our Executive Coaching (EC) Center of Excellence focuses on individual executive coaching that helps senior leaders build self-awareness, understand their impact, envision how they want to lead, and then navigate a path to being as effective as possible. The Executive Coaching COE was formed in early 2023 when BTS acquired The Boda Group, and is growing fast. The Executive Assistant (EA) to the head of the COE is a central and essential role. The EA’s core responsibilities will focus on responding to requests, anticipating needs, and preventing problems. The ideal candidate is a detail-oriented administrative professional with a positive, can-do attitude who enjoys and has been successful at juggling multiple priorities in a fast-paced environment.

Responsibilities Include

  • Scheduling all client, colleague, and business development meetings
  • Proactively managing the calendar, including strategically prioritizing meetings, adjusting meetings where necessary, and applying a deep understanding of the relevant priorities.
  • Updating contacts with accurate information
  • Planning travel (6-10 trips/year) and creating, submitting, and tracking expense reports
  • Creating and updating PowerPoint slides
  • Supporting the operations team where necessary – covering vacations and other needs
  • Handling various projects requiring research, writing, and spreadsheet skills.

Skills And Capabilities Required

  • Unfaltering detail-orientation. Able to produce accurate, high-quality work under deadline.
  • Proven team player who builds strong relationships virtually, cares about colleagues, and eagerly pitches in wherever it’s needed to help the team succeed.
  • Demonstrated prior success as an executive assistant in a virtual environment.
  • Intelligent, creative problem-solver. Able to understand new requests and challenges and solve them efficiently and with high quality.
  • Strong written and verbal communication skills.
  • Professional, positive, and poised. Will represent the firm and our team members well.
  • Fluency with Microsoft Office – particularly Outlook
  • Independent and self-motivated. Likes working on their own behind the scenes. Able to productively and happily work in a virtual environment with almost all interactions via email.
  • Eligibility to work in the US permanently without sponsorship

The role requires ~15 hours/week during normal business hours, ideally with the flexibility to increase or decrease 10-20% in any given week. Hours are completely flexible within a standard workday. The role is not suitable for someone with another full-time job.

Compensation: $30-35/hour as a subcontractor; $25-30K/year as a part time employee.
